Most enterprises are constantly evolving and adapting. Part of this evolution can include new branches, offices, departments and common restructuring stemming from promotions and updated responsibilities for existing employees.
Since the hierarchy structure setup within the LMS will typically reflect the structure of your company, on occasion it may become necessary to move certain LMS Learners from one Team to another within the system.
Transferring Learners from one Team to another can be performed efficiently when using the Bulk Team Assignment feature located within the Teams section.
To demonstrate a typical use example, let's say that a given company has decided to implement a new segment of the Human Resources Department which will be dedicated towards E-Recruiting. As part of this development, we will transfer one Learner from the Talent Seek Team to the new E-Recruiting Team. Since these Teams will be sibling Teams, we will add this Learner to the new Team and then subsequently remove this Learner from their old Team.
As a first step, we want to ensure we know the proper username of the Learner we want to transfer.
- Ensure the proper Active Team is selected; should there be more than one Active Team.
- Navigate to the LMS Admin tab > Teams tab.
- You originally want to go to the Team you wish to transfer the User from and click on the Learner icon to open it's context menu.
- Select Learner Management from menu.
Make sure you write down the username correctly.
For this example we will transfer User Jan Peterson from one Team to another.
Add Team Membership
Now that you have the proper username of the User you wish to transfer from one Team to another, go to the destination Team or the Team you are transferring to;
- From it's Learners context menu, select Bulk Team Assignment.
Once the BULK TEAM ASSIGNMENT panel opens;
- As Learner Source we will use the Team or Roles option.
- You can either check box for All Team Members or select a Learning Role (For this example we opted to check box for All Team Members).
- Search String: Enter the username of the person you wish to add to this Team.
- Click the Search for Learners link.
- When the proper username for the person you wish to transfer displays in the search results field, check box adjacent to their username.
- In the Assign Teams section, check button for Add.
- If you check box for Notify Learners, this Learner will receive an email notice, notifying them of the action taken, whether it be Team Add or Team Drop.
- Click Submit.
A confirmation dialog box will display.
- Click Yes.
The Results of the operation will display. In this example we see that Total New Membership Assigned is 1.
When we go back to the Teams list we notice that the E-Recruiting Team now has 1 Learner.
Drop Team Membership
We have added User Jan Peterson to her new Team but she still remains a member of her old Team. We now need to drop Jan Peterson from her original Team.
- Under the User's original Team, expand the Learners context menu and select the Bulk Team Assignment option.
Once the BULK TEAM ASSIGNMENT panel opens;
- As Learner Source we will use the Team or Roles option.
- You can either check box for All Team Members or select a Learning Role (For this example we opted to check box for All Team Members).
- Search String: Enter the username of the person you wish to drop from this Team.
- Click the Search for Learners link.
- When the proper username for the person you wish to drop displays in the search results field, check the box adjacent to their username.
- In the Assign Teams section, check button for Drop.
- Click Submit.
- When the confirmation message displays, click Yes.
- You will receive an Assign Learner Membership Status message.
This User has now been successfully added to the new Team and removed from the old Team.
