Can I Use a YouTube Video or a Vimeo Video as a Learning Element?

YouTube or Vimeo videos can be easily and quickly added into your Accord LMS Learning Catalog to be utilized as Learning Elements by your selected Learners.

Once a video Learning Element has been added to the Catalog, it can be easily edited, deleted or substituted with an updated video.

We will first cover adding a YouTube video, should you desire to add a Vimeo video, please scroll below to the heading which reads 'Add Vimeo Video'.


Add YouTube Video

To add a YouTube video Learning Element;

  • Ensure the proper Active Team is selected.
  • Navigate to the LMS Admin tab > Catalog tab.
  • Click on the Folder you wish to add the YouTube video to open it's context menu.
  • From the menu, click on Add Learning Element.

The Learning Element Type page will open;

  • Select YouTube Video.

This will open a panel allowing you to set desired details for this Learning Element.

General Settings

Note; only fields within General Settings are necessary to create a YouTube Learning Element. Fields in subsequent panels are optional.

  • Name: (non-optional): Enter a name for this Learning Element.
  • Learning Element Format: Using the dropdown menu, you can select different play formats. The YouTube preset default Modal Window of 1280 x 720 will work for most YouTube videos. 
  • Custom Window Dimensions: Clicking this box will allow you to customize width and height dimensions.
  • Enable Proctoring: Checking this box will allow this Learning Element to be Proctored. Only available for LE Formats with Popup or Modal launch windows.
  • Description: Enter an optional description to help define or describe this Learning Element.
  • YouTube URL: Copy and paste the URL link of the YouTube Video into this field.

Advanced Settings 

If necessary, click heading to open.

  • Learning Element Type: Using the dropdown menu, select the type for this Learning Element. If YouTube video, you can leave it set to YouTube.

Utilization Tracking: Using the dropdown menu, select desired tracking. Options are; 

  • “In Progress” on Open: This option will record "In Progress" if the launch window is opened. This option assumes an LMS Admin will later assign a final completion status. 
  • “Complete” on Open: This option records "Complete" if the launch window is opened. 
  • “Complete” on Close: This option records "Complete" if the launch window is opened and closed. 
  • “Complete” on Expected Duration: This option records "Complete" if the launch window is closed after the estimated duration period has elapsed. 
  • None: This option records no utilization. 
  • None - Resource: This option records no utilization and defines this Learning Element as a resource.
  • Include "Pass" upon "Complete": Clicking on this box will prompt the LMS to record this Learning Element as a "Pass" after being completed or watched.


  • Expected Duration: Check box to open options. Select the expected duration of this Learning Element .
  • Reference: Optional reference field typically for administrative use.
  • Status: Active Status will display this LE for Learners. Inactive Status LE are hidden from Learners.
  • Views: This represents the number of times this Learning element has been viewed.
  • Publish Date: This Learning Element will begin to display for Learners on this publish date.
  • Unpublish Date: This Learning Element will not display for Learners after this date. Leave blank for unlimited publication.
  • Tags (separated by commas): Enter optional Tags or phrases to assist Learners in finding this Learning Element whenever using the search field feature.
  • Utilized in Folders: Initially this section will display no Folders. After any utilization, any Folders which utilized this Learning Element will display here.

Education Activities   

If necessary, click heading to open.

Note; Education Activities are typically types of continuing education units (CEU'S) recognized through various organizations.

  • Award Requirements: Use the dropdown menu to select conditions necessary for a Learner to qualify for award requirements. Options are CompletePassComplete or Pass or Complete and Pass.
  • Education Units: This is a default education activity.


Note; you have the option of adding new Education Activities for varying types of CEU's.

Sometimes varying types of professional associations will use their own terms or own acronyms for CEU's.

  • Update: After entering your information and establishing any settings for this YouTube video Learning Element, scroll to bottom and click Update.

Editing or Updating a YouTube Video Learning Element 

To Edit or Update an existing YouTube Learning Element;

  • Ensure the proper Active Team is selected.
  • Navigate to the LMS Admin tab > Catalog tab.
  • Click on the YouTube video you wish to edit to open it's context menu.
  • From the menu, click on LE Details.

Make desired changes.

If choosing to substitute an existing YouTube video with another, simply copy and paste the new video URL into the YouTube URL field. 

  • Update: When finished, scroll to bottom and click Update.

Deleting a YouTube Video Learning Element 

To Delete a YouTube Learning Element;

  • Ensure the proper Active Team is selected.
  • Navigate to the LMS Admin tab > Catalog tab.
  • Click on the YouTube video you wish to delete to open it's context menu.
  • From the menu, click on LE Details.

  • Once the LE Details panel opens. scroll to bottom and click Delete.

Note; if you wish to remove the YouTube Learning Element from it's associated Folder but still keep it available for potential future use, click Remove From Folder. This will store this YouTube video in the Orphans Folder inside the Catalog for any desired future use; should this exact same Learning Element not already exist within another Catalog Folder.


Add Vimeo Video

To add a Vimeo Video Learning Element;

  • Ensure the proper Active Team is selected.
  • Navigate to the LMS Admin tab > Catalog tab.
  • Click on the Folder you wish to add the Vimeo video to open it's context menu.
  • From the menu, click on Add Learning Element.

Once the Learning Element Type panel opens;

  • Click on Link.

This will open a panel allowing you to set desired details for this Learning Element.

  • Click on the Vimeo video you wish to edit to open it's context menu.
  • From the menu, click on LE Details.
