Introduction

The primary function of LMS Learning Roles is to facilitate Learner access to specific types of Learning Content.

These Learners may be individual Learners or groups of Learners.

The Purpose of Learning Roles

Learning Roles are used to link Learners to their appropriate Learning Content.

Learning Roles function to facilitate Learner access to;

  • Learning Paths
  • Courses
  • Misc. digital and online resources.

Learning Roles can also be used to help populate the Catalog with Learning Content; after such point a Learner may self-enroll into this content.

Learning Roles can be used to allow membership into Learner Social Groups. Social Groups can be beneficial towards group support and comradery for certain types of learning material.


Date Management

Learning Roles may be utilized to efficiently manage start-dates, due-dates and renewal dates for any Catalog courses or online content.


Example Application of a Learning Role

A company continually hires new employees. This company wants newly hired employees to always receive a standard compliment of training.

How to get your new hires automatically enrolled into your new hire training?

  • Create a specific Learning Role for this particular segment of Learners. 

We will call this Learning Role the ‘New Hire Learning Role’.   


  • Enroll the various forms of Learning Content intended for new hires into the ‘New Hire Learning Role’.

  • Once the learning content has been assigned to this specific Role, whenever an employee is hired and entered into the Accord LMS System, the system will automatically enroll these new employees into the 'New Hire Learning Role'.

This process will automatically provide any new hires with the proper LMS access to the proper Learning Content which is enrolled thru their newly assigned Learning Role.


Renewal Rules;

A Learning Role will help in managing any Renewal Rules and other various properties as desired.


A given Learner may have 2 or more Learning Roles;

Depending on a given Learner and when considering any tasks or duties associated with their respective positions', a Learner can have more than one Learning Role. Utilizing multiple Learning Roles can aid with the ongoing training compliance for certain employees who might maintain numerous workplace responsibilities. 


Any Learning Roles assigned to Learners may change or evolve over time;

Individual Learners or groups of Learners may be assigned different Learning Roles as time progresses, depending on their positions, duties and training requirements.


How Learning Roles are Assigned to Learners

 Learner Role Assignments can be handled through;

  • An LMS Administrator or Team Leader.
  • Administrator digital bulk import.
  • HRIS Integration.
  • Membership Rules.

Learning Role Membership Rules

Learner Role Assignments may also be funneled through Membership Rules;

Specific types of predetermined Role Membership Rules such as job title, start date, region, department or any other qualifying parameters can be used as membership defining criteria, which will then trigger an automatic LMS assignment of a Learning Role Membership for any Learners who satisfy the qualifying criteria.

As an example; a membership rule can be added, intended to enroll any Learners with the job title of Instructor into an Instructor Learning Role

When a new Learner's LMS profile is completed and the job title of Instructor is entered into their job title field, this prompts the LMS to then automatically enroll this Learner into the Instructor Learning Role

This process will then grant this specific Learner with the appropriate access to the specific types of Learning Content intended for Instructors.


Additional Benefits

One thing extremely efficient about Learning Roles, is once any Learning Role's specific Learning Content is updated or newly assigned, the Learning Role will automatically assign this new or updated training to any Learners associated with this Role.


When a given employee advances in their respective position and acquires new duties or responsibilities, when this employee becomes assigned to a new Learning Role, they will then be granted access to the Learning Content associated with their new Role.


Sometimes when a Learner is assigned to a new Learning Role, this may mean becoming disassociated with a former Learning Role, but a Learner can also be a concurrent member of two or more Roles, as any conditions might require, thereby continually granting them access to the appropriate Learning Content associated with both Roles.  


In Summary

Learning Roles allow for the right types of training to be continually assigned to the right types of Learners.
